Please note that success of any data migration depends primarily on the quality of the data set provided to us. Before attempting to migrate your information into Clio, you should ensure that your data is consistently formatted, well organized, sufficiently backed up, and stored securely. If you are not certain, it is recommended that you consult with your Clio representative before proceeding.
Procedure:
Initial Steps:
- Open Time Matters
- Click File
- Click Setup
- Click User and Security
- Click Security Settings
- Uncheck box For Activate Security Features Throughout the Application (Recommended)
- Ensure that this box is rechecked once the export is completed.
To export your contacts:
- Open Time Matters
- Click File
- Click Export
- Click Custom Export
- Select the third option Create a new Export Template
- Click Next
- On the page Select Export File Format:
- Select ASCII - Comma Delimited (.TXT or .CSV)
- Check Include field names labels as first record in Export
- Click “...”
- Assign the file a name and select a location, typically in c:\Clio Export\ (creating the folder Clio Export)
- On the page Specify Time Matter Record Type with the Export the following Record Type drop down menu choose Contacts
- On the page Select Pre-Merge Record
- Select None
- Click Next
- On the page Export Custom Forms
- Select None
- Click Next
- On the page Select Contact Export Fields
- Click Add All >>
- Remove the Memo field from the selection
- Click Next
- When it asks about Archived Status, make sure to get Both non-archived data and archived data (unless preferences are otherwise)
- On the page Launch Application After Export:
- Select No, do not launch an application
- Click Next
- On the page Ready to Begin Export:
- Select Yes. Save this Export Template
- Click Finish
- When the export is complete, click OK
To export your matters:
- Open Time Matters
- Click File
- Click Export
- Click Custom Export
- Select the third option Create a new Export Template
- Click Next
- On the page Select Export File Format:
- Select ASCII - Comma Delimited (.TXT or .CSV)
- Check Include field names labels as first record in Export
- Click “...”
- Assign the file a name and select a location, typically in c:\Clio Export\ (creating the folder Clio Export)
- On the page Specify Time Matter Record Type with the Export the following Record Type drop down menu choose Cases
- On the page Select Pre-Merge Record
- Select None
- Click Next
- On the page Export Custom Forms
- Select None
- Click Next
- On the page Select Matter Export Fields
- Click Add All >>
- Remove the Memo field from the selection
- Click Next
- In order to get header names it is recommended you filter and export by Practice Area
- When it asks about Archived Status, make sure to get Both non-archived data and archived data (unless preferences are otherwise)
- On the page Launch Application After Export:
- Select No, do not launch an application
- Click Next
- On the page Ready to Begin Export:
- Select Yes. Save this Export Template
- Click Finish
- When the export is complete, click OK
Please Note: When doing a typical Time Matters migration, only the above Contacts and Matters front-end reports are exported along with the Time Matters database backup. How to Export Data from Time Matters Database
Please Note: Only export the following sections as workaround, if you are unable to export a Time Matters database backup.
To export your events:
- Open Time Matters
- Click File
- Click Export
- Click Custom Export
- Select the third option Create a new Export Template
- Click Next
- On the page Select Export File Format:
- Select ASCII - Comma Delimited (.TXT or .CSV)
- Check Include field names labels as first record in Export
- Click “...”
- Assign the file a name and select a location, typically in c:\Clio Export\ (creating the folder Clio Export)
- On the page Specify Time Matter Record Type with the Export the following Record Type drop down menu choose Events
- On the page Select Pre-Merge Record
- Select None
- Click Next
- On the page Export Custom Forms
- Select None
- Click Next
- On the page Select Events Export Fields
- Click Add All >>
- Click Next
- When it asks about Archived Status, make sure to get Both non-archived data and archived data (unless preferences are otherwise)
- On the page Launch Application After Export:
- Select No, do not launch an application
- Click Next
- On the page Ready to Begin Export:
- Select Yes. Save this Export Template
- Click Finish
- When the export is complete, click OK
To export your task:
- Open Time Matters
- Click File
- Click Export
- Click Custom Export
- Select the third option Create a new Export Template
- Click Next
- On the page Select Export File Format:
- Select ASCII - Comma Delimited (.TXT or .CSV)
- Check Include field names labels as first record in Export
- Click “...”
- Assign the file a name and select a location, typically in c:\Clio Export\ (creating the folder Clio Export)
- On the page Specify Time Matter Record Type with the Export the following Record Type drop down menu choose To Do's
- On the page Select Pre-Merge Record
- Select None
- Click Next
- On the page Export Custom Forms
- Select None
- Click Next
- On the page Select Task Export Fields
- Click Add All >>
- Click Next
- When it asks about Archived Status, make sure to get Both non-archived data and archived data (unless preferences are otherwise)
- On the page Launch Application After Export:
- Select No, do not launch an application
- Click Next
- On the page Ready to Begin Export:
- Select Yes. Save this Export Template
- Click Finish
- When the export is complete, click OK
To export your notes:
- Open Time Matters
- Click File
- Click Export
- Click Custom Export
- Select the third option Create a new Export Template
- Click Next
- On the page Select Export File Format:
- Select ASCII - Comma Delimited (.TXT or .CSV)
- Check Include field names labels as first record in Export
- Click “...”
- Assign the file a name and select a location, typically in c:\Clio Export\ (creating the folder Clio Export)
- On the page Specify Time Matter Record Type with the Export the following Record Type drop down menu choose Notes
- On the page Select Pre-Merge Record
- Select None
- Click Next
- On the page Export Custom Forms
- Select None
- Click Next
- On the page Select Notes Export Fields
- Click Add All >>
- Click Next
- When it asks about Archived Status, make sure to get Both non-archived data and archived data (unless preferences are otherwise)
- On the page Launch Application After Export:
- Select No, do not launch an application
- Click Next
- On the page Ready to Begin Export:
- Select Yes. Save this Export Template
- Click Finish
- When the export is complete, click OK
To export your time/expenses:
- Open Time Matters
- Click File
- Click Export
- Click Custom Export
- Select the third option Create a new Export Template
- Click Next
- On the page Select Export File Format:
- Select ASCII - Comma Delimited (.TXT or .CSV)
- Check Include field names labels as first record in Export
- Click “...”
- Assign the file a name and select a location, typically in c:\Clio Export\ (creating the folder Clio Export)
- On the page Specify Time Matter Record Type with the Export the following Record Type drop down menu choose Billing
- On the page Select Pre-Merge Record
- Select None
- Click Next
- On the page Export Custom Forms
- Select None
- Click Next
- On the page Select Notes Export Fields
- Click Add All >>
- Click Next
- When it asks about Archived Status, make sure to get Both non-archived data and archived data (unless preferences are otherwise)
- On the page Launch Application After Export:
- Select No, do not launch an application
- Click Next
- On the page Ready to Begin Export:
- Select Yes. Save this Export Template
- Click Finish
- When the export is complete, click ok
