Please note that the success of any data migration depends primarily on the quality of the data set provided to us. Before attempting to migrate your information into Clio, you should ensure that your data is consistently formatted, well organized, sufficiently backed up, and stored securely. If you are not certain, it is recommended that you consult with your Clio representative before proceeding.
Additionally, there is a difference in how Clio and Rocket Matter handle closed matters. Clio registers a closed matter as a filter setting, whereas in Rocket Matter has this structured as a locked out matter. This means if there are any remaining time entries or expenses that weren’t billed and never intend to be billed on a closed matter, it will suddenly show up in bulk billing screen.
Please make sure that you have Administrative privileges before exporting the data.
Procedure:
Contacts
- Log in to Rocket Matter
- Select Settings in the left navigation bar
- Under Data, click Export Contacts
- Choose a location to save the file
- Click Save
Matters
- Log in to Rocket Matter
- Select Matters on the left sidebar
- Select Filters to include Open, Completed, and Closed cases
- Select the Show/Hide Columns button and check all boxes.
- Select Export Report
Activities
- Log in to Rocket Matter
- Select Reports on the left sidebar
- Click Run Report under "Billable Activity by User(s)"
- Select Edit Filters
- Choose the Date Range of Activities to export
- Add All Users
- Exclude Invoiced status only (failure to do this step may slow down the migration progress)
- Include all Activity types
- Include Expenses
- Select Export Report
Matter Related Contact
- Log in to Rocket Matter
- Select Reports on the left sidebar
- Click Run Report under "I Want To See All Matter Related Contacts"
- Select Export Report
Outstanding Balances
No additional extract required.
Use 'Current Balance' column from the Matters Export for the outstanding balances.
