How to Forward Multiple Emails Individually in Outlook

Additional Information:

In order to bulk-file emails, they must be forwarded individually -- if forwarded as attachments, they will arrive in Clio as an attachment in the Documents Tab, as opposed to a Communication.


  1. Create a new folder in Outlook. (Call it "Forward" perhaps.)
  2. Copy all messages you want to forward to the "Forward" folder.
  3. Make sure the "Forward" folder is open.
  4. Create a new Rule: 
    • In Outlook 2013 and Outlook 2016:
      1. Make sure the Home (or the HOME) ribbon is open.
      2. Click Rules in the Move category.
      3. Select Create Rule… from the menu that shows.
      4. Click Advanced Options….
    • In Outlook 2007:
      1. Select Tools | Rules and Alerts... from the menu.
      2. Click New Rule....
      3. Highlight Check messages when they arrive.
      4. Click Next >.
  5. Click Next > (leaving all conditions unchecked).
  6. Click Yes under This rule will apply to every message you receive. Is this correct?.
  7. Make sure forward it to people or public group (or forward it to people or distribution list) is checked under Step 1: Select action(s).
    • You can alternatively check forward it to people or public group as an attachment (or forward it to people or distribution list as an attachment) to forward messages not inline but attached.
  8. Click people or public group (or people or distribution list) under Step 2: Edit the rule description.
  9. Double-click the desired contact or list from your address book, or type the email address to which you want to forward under To ->.
  10. Click OK.
  11. Click Next >.
  12. Click Next > again.
  13. Make sure Turn on this rule is not checked under Step 2: Setup rule options.
  14. Now make sure Run this rule now on messages already in "Forward" (or whatever you named the forwarding folder).
  15. Click Finish.

You can delete the rule and the "Forward" folder if you want, of course, or just delete the messages in it and re-use the folder later.
