How to Carry Over Outstanding Balances Into Clio

Objective:

  • Bringing over previous balances into Clio
  • Inputting prior accounts receivables
  • Record previous Accounts Receivables within Clio
  • Add rollover balances
  • Enter beginning balances 
  • Import outstanding balances
  • Carryover balances

Environment:

  • Clio Manage

Additional Information:

To complete the process a Bill has to be generated and Approved so that the previous A/R is displayed as A/R for that Matter/Client in Clio. You can generate the Invoice right away, or wait for your billing time where there may be new time entries added to bill.

Procedure:

  1. Create an Activity category
    1. Navigate to the Activities tab on the black bar on the left-hand side
    2. Click on the Manage categories button (top-right)
    3. Click New category
    4. Choose Time entry category from category type
    5. Enter the Name (e.g., Outstanding Balance)
    6. Select Flat Rate/Fixed Fee as the Billing method
    7. Leave the Rate as 0.00
    8. Click Save category

  2. Create a Time Entry for the balance
    1. Access the page for the appropriate matter
    2. Navigate to the Activities sub-tab
    3. Select New Time Entry
    4. Select the created Activity category
    5. Enter the Rate with the outstanding balance
    6. Click Save entry
