Installing the Clio Add-in for Microsoft Office
When you enable the Clio Add-in in either Outlook 365 or Outlook desktop (with a 365 Business Standard subscription), the Add-in will automatically be added to the other as well.
Click on the screen for the "Get Add-in button to show
- Click Get add-in
- Search for Clio in the search bar
- Click Add
- Click Get Started for a short tutorial on how to use it
- Once you close the Add-Ins window, a Clio group will be added to the Home ribbon.
Log in to your Office 365 account, go to your Outlook, click on New Message, then click Get add-ins.
In the Add-ins search bar, search "Clio" then click on the name.
Then click the blue Add button. You will then want to exit from the window and refresh your page.
To use the Add-in, open an email, then click the blue Clio button, then click File.
The first time you try to file an email, you will be prompted to select your region and authorize the connection with Clio.
Select the region that pertains to your Clio account, not the region you personally reside in. By default, North American accounts are created on the North American server. If you are unsure which server you are on, you can check by viewing your Clio URL:
North America: app.clio.com
Europe: eu.app.clio.com
Canada: ca.app.clio.com
Filing Emails from Outlook to Clio
Once you’ve installed the add-in, you can file emails or start a timer from within the email itself.
Filing a Single Email or Email Thread
- For Outlook Online open the email, click the Clio Icon, then click "File" in the Clio group.
- For Outlook Desktop, open the email, click the File button at the top of your ribbon
If this is the first time that you are filing an email, you will be prompted to select your region. You will then be prompted to login to your Clio account and authorize the connection.
You can now select the appropriate Matter and filing option, and file the email. When searching for a Matter in the Find a matter field, you can search by Client name, Matter description and Matter Number.
When composing an email, you can choose to file an email once it is sent. To do so, start composing an email in Outlook and select the Clio Outlook Add-in from the menu at the bottom.
Once opened, you can pin the Clio Add-in in Outlook, making it visible with each new email that is composed.
Select the Matter you wish to file the email to, and check the box to File this email when it is sent.
You will also be given the option to add a Time Entry to the email and file any attachments.
Clio Manage will file the newly sent email as an email log in that matter's communications log. Attachments are saved into Clio Manage Documents under the matter in a folder named 'Email Attachments'. If enabled, a time entry will be created associated with the email log.
Filing Multiple Emails (Smart File)
Click on "Smart File" in the Clio group, then click "Scan & bulk file".
The "Scan & bulk file" option will find all new emails (received within the last 48 hours) in your inbox and allows you to select those messages that should be filed to a Matter in Clio.
Select the emails to file to a single Matter in the right-hand column, then click Continue at the bottom.
Next, select the Matter and click "File"
Automatically Filing Emails in a Thread to the Appropriate Matter (Smart File)
If the email has attachments, you're able to select which attachments you want to file into Clio by selecting the check-boxes next to the name of the attachment.
Click on Smart File in the Clio group, then click File known threads.
The "file known threads" option will search for responses to emails (received within the last 48 hours) that have already been filed to Clio and will automatically save those new responses to the appropriate Matters.
Select the emails to automatically file to the Matters specified in the right-hand column then click Next.
Starting a Clio Timer in Outlook
To start a Clio timer, click on the "Timer" button in the Clio group then click the "Start" button. Once you have completed your task, you can complete the time entry just as you would in Clio.
Click "Save" to save the time entry back to Clio.
You can embed the Clio Outlook Add-in into your inbox interface. By 'pinning' Clio's Outlook Add-in to your inbox, you will be able to navigate and file emails faster than ever.

Please note: the ability to pin Clio's Outlook Add-in to an inbox is only available on Outlook Desktop 2019 and Outlook Web.
How can I access this add-in?
You can download the add-in from the Microsoft Store. Once you have downloaded the add-in, see above for installation instructions.
Is this included in my Clio subscription?
The add-in can be downloaded from the Microsoft Store at no extra charge, and is compatible with Clio Boutique and Elite subscriptions.
Do I need any additional licences to access this?
All you need is a valid Microsoft Office 365 subscription and a Clio account, on a Boutique or Elite subscription.
Is this available on all devices?
This is available on Mac, Windows, and through the web browser from any device.
Important: The Clio Add-in is only available to Outlook desktop with an Office 365 subscription.
Note: The ability to bulk file is not currently available for Mac. Mac users with access to Office 365 or Outlook.com are still able to file emails in bulk from a web browser.
Is this available for EU accounts?
Yes.
What is "Smart File"?
Clio will automatically scan your inbox for new replies to emails that were already filed and automatically file all following emails to the same Matter. Clio can also scan your inbox for new emails that were not previously filed and allows you to file multiple emails at once.
How does the Add-in handle creating new contacts when receiving an email?
When filing an email to Clio, the add-in will attempt to link the email to an existing Clio contact. If there isn't a contact in Clio with the sender/recipient's email and name, the add-in will prompt you to add a new contact or select the appropriate contact.
Can I file a chain or thread of emails at once?
Yes. When saving your emails to Clio, select "File the entire thread". Clio will file all related emails automatically to Clio.
Where can I find my email attachments in Clio?
All attachments can be found in the documents section of the related Matter in a folder called "Attachments" as well as through the Communication log created in Clio when filing the email.
How do I know if I already filed an email with the Outlook Add-In?
When you attempt to file an email that has already been filed you will receive a confirmation message stating "This email has been filed to.." a particular matter.
What happens if my colleague that was CC'd on an email files it into Clio, will I be warned if I try to file it?
No, the email that each user receives is individual to them so the system will not recognize another version has been filed.
I accidentally Filed an email to the wrong Matter, how do I change it?
You can click on the "Change" button underneath the confirmation message to change . This will remove the email log from the incorrect Matter and file it in the correct Matter.
