Secure PDF Links - Bill Sending Enhancement

Your clients will have a Secure Link to download their bills. This downloaded bill will be in PDF format and is the same experience as when you share Outstanding Balances.
We’ve also added the option for you to send bills as PDF attachments. 

What do the new Bill send emails look like to my Clients?

Below are the various scenarios and bill emails that your clients will see with this billing enhancement.

How long will my clients have to download their bills via the Secure PDF links?

Secure PDF links shared with your clients will expire after 90 days from the moment you have sent the bill.

 

What will my client see if the Secure PDF link is expired after the 90 days has passed?

After 90 days, the link will direct them to reach out to you to retrieve another Secure PDF link. Below is what your client will see when trying to access an expired link:

Will I be notified if my client is unable to receive the bill send email for any reason?

Yes. You will also receive an error email if your client is unable to receive the bill send email for any reason. Below is an example of the error email:

Will Secure PDF Links impact either Bill or Trust requests?

Yes. This will impact both Bills and Trust requests. There will no longer be any Bills or Trust Requests attached as a PDF going forward.

  

Why did we make this change?

By providing your clients with a Secure Link you will also be using a safer method of sharing sensitive information with clients, and provide them with a seamless experience by matching the way in which they receive Secure Links for Outstanding Balances. We encourage you to use this feature as it will enable you to take advantage of future functionalities to be built in the link, making sending bills through Clio even more powerful for your practice.

 

What if I need attachments due to my clients workflow?

We’ve built an option so that you can choose to send bills as a PDF attachment with your email. Please see below on how you can enable this option. 

 

How do I enable PDF attachments for bill emails?

There will be two methods for you to enable attachments for bill emails.

Option 1 – Through the bill send modal

You will be able to send bills as PDF attachments along with emails through both single bills and when sending bills in bulk. You can select the ‘Send bill as a PDF attachment instead of a secure PDF link’ within the bill send modal.

Note: this option will not be available for Outstanding Balances or Automatic Bill Reminders given those emails can contain more than one bill at a time, and will likely go over the email size attachment limit of many email providers.

Option 2 – Turning ‘On’ Send bills as attached PDF in Bill Settings

You can also enable sending bills as a PDF attachment via your account’s ‘Bill Settings’. Selecting this option will cause the checkbox in the bill send modal to default to be checked, sending bills as PDF attachments each time. By default, the bills will be sent by secure PDF links.

To access this go to your account Settings –> Billing –> Default Bill Attachment Options
