Custom Fields: Breakdown of Field Types

To learn how to use Custom Fields, click here.  You will find that as you create custom fields you need to determine a "Type".  This article will explain all the different "Types" that can be used.

Note: 

  • Custom Fields can only be created by the Account Administrator and they are shared firm-wide. 
  • The Name Field of all Custom Fields is limited to 32 characters.

Making Custom Fields "Default"

All Individual Custom Fields and Custom Field Sets can be set as "Default". Default Custom Fields will appear in the Contact or Matter form on all new Contacts/Matters, or when editing existing Contacts/Matters. Making a Custom Field Set Default will add all of the fields included in the set to the Contact or Matter forms (whether or not the individual fields have been set as Default).

Making Custom Fields "Required"

All Individual Custom Fields can be set as "Required". Required Custom Fields must be completed when added to a Contact or Matter form. When making a field Required, we also suggest that you make the field a Default. Fields that are set as Required but are not Defaults can still be removed from the Contact form.

Checkbox

What is it?  This option will give you a single checkbox which is useful for recording yes or no (true or false) type information.

Notes:  

  • If you check the box in the Matter/Contact edit screen the text will read "Yes", if left unchecked the text will read "No".
  • The "Name" of a Checkbox Custom Field is limited to 32 characters.

Contact Select

What is it?  This field will allow you to select a Contact that already exists in Clio. Once a Contact has been added to this field type, that person’s name will appear as a hyperlink in the Matter or Contact card details.

Notes:  Because the contact is hyperlinked, if you click on the name of the person you will be taken to their contact card in Clio.

Date

What is it? The Date field allows you to choose a date relevant to the Name of the field.

Notes:  When you alter this field in the Edit screen of the Matter or Contact, simply click into the field and you will see a calendar pop up that allows you to choose the appropriate date:

The date field does not pull into any Clio Calendar and you are unable to set reminders for them at this time.

Email Address

What is it?  The Email Address field will prompt you to enter in a valid email address format relevant to the Name of the field.

Notes:  As this is an email field, as opposed to a text field, you will see your email is hyperlinked.  When you click on the email address you should be re-routed to your browser's default email provider with the email added to the "To:" field of a new email.

Integer

What is it?  You can enter a numerical value in this field relevant to the Name of the field.

Notes:  

  • The Integer field must be a whole number without any letters or characters, such as a Social Insurance Number.
  • The Integer field is limited to 19 characters.

Matter Select

What is it?  This field will allow you to select a Matter that already exists in Clio. Once a Matter has been added to this field type, it will appear as a hyperlink in the Matter or Contact card details.

Notes:  Because the Matter is hyperlinked, if you click on the name of the Matter you will be taken to the Matter card in Clio.

Money

What is it?  This field will prompt you to enter a number value with at most 2 decimal places. Note that the dollar symbol (or any other currency character) is not allowed.

Notes:  The Money field does not link to any Transactions within your Accounts.

Picklists

What is it? Picklists allow you to create your own list of terms and pick them from a dropdown menu.

 Notes:  There is a 64 character limit per picklist option.

Text (Multi-Line)

What is it?  The multi-line text field allows you to enter a great deal of text information relevant to the Name of the field.

Notes:  There is a 64000 character limit for a multi-line text field.

Text (One-Line)

What is it? The one-line text field allows you to enter a short amount of information relevant to the Name of the field.

Notes:  There is a 255 character limit for a one-line text field.

Time

What is it?  This field will validate for a clock time format such as "9am" or "2100" in the 24-hour clock.

Notes:  If you want to enter 5:30 PM, then either type "5:30 PM" or "17:30" into the Edit screen field.

Web Address

What is it? This field allows you to enter a website address that will be hyperlinked.

Notes:  Do not include the "http://" that often appears at the front of a URL.
