Xero: Using the Xero Integration

The Xero integration is available to subscribers of our Legacy, Boutique, and Elite plans.

You can upgrade to the Boutique or Elite plan in the app, or if you’re interested in seeing how this feature can work for your law firm feel free to contact us by email or give us a call at 1-888-858-2546 (choose option #1).

After you have set up the integration by following the instructions here, you can now bi-directionally sync your Contacts between Clio and Xero and your Bills, Credit Notes, and Payments will be linked from Clio to Xero.

Contacts

Only your Clio Contacts with associated invoices will be synced with Xero. Personal Contacts that have no invoices will not be synced over to Xero.

When you first sync your Clio account to Xero, the sync will look for a match between Contact names and email addresses. When a match is found, the Contacts are linked. Any changes or additions to Contact information will be synced between the two applications. 

Phone Numbers

Any phone number that has a matching field in Xero, will be brought over as you can see below in a comparison of Aaron Jones' contact card in both Clio and Xero.

Note that Xero will not recognise phone numbers in Clio that are specified as Home, Pager, Skype, or Other unless they are the "Primary Number".

Addresses

The billing address from Clio will sync to Xero and will be brought over as both the postal address and the street address.

Email Address

Xero has a field for one email address, therefore the first email in Clio will be brought over.

Edits to Contacts

You can edit the information in either Clio or Xero and it will reflect in the other. Please note it can take up to five minutes for the sync to occur.

Bills

When you link your Bills from Clio to Xero, all your Bills in Clio will show in the Accounts > Sales > Invoices area of Xero.

Bill States

The bill states that you see in Clio; such as "Draft", "Awaiting Approval", "Awaiting Payment", and "Paid"; are mirrored in Xero.

When the sync occurs the system is able to sort the bills within their respective categories.

Bill Payments

Payments on bills in Clio will be added to the corresponding invoices in Xero. Subsequent edit or delete actions on the payments in Clio will sync to Xero.

If you have selected a date range for bills to sync to Xero, only payments on invoices with issue dates falling in that date range will sync.

Editing Invoices

To edit an Invoice, you must do so in Clio. Any changes to Invoices in Xero will not be reflected back to the Clio invoice. If you are in Xero and you wish to make a change to a Clio Invoice, click on the "Go to Clio" link at the top which will open the Clio Invoice in a new tab.

If you do make a change to a Clio Invoice (within Clio) the changes will sync over to Xero at the next sync interval (about every 30 minutes).
