UTBMS Codes

UTBMS Codes are available to subscribers of our Legacy, Boutique, and Elite plans.

For firms that engage in electronic invoice submission (i.e. LEDES) you can enable UTBMS codes for use in time and expense entries.

Enabling UTBMS Codes

From your account's Settings page, select "Billing" under the Clio Settings column.

  1. From there, select the sub-tab "UTBMS Codes" 
  2. Check "Use UTBMS Codes"
  3. Check the box beside each code set you would like to use
  4. Click "Update UTBMS Settings"

Once you enable the use of UTBMS codes in your account, you can start using those codes in your time and expense entries.

Using UTBMS Codes in Time Entries

When editing or adding a Time Entry from within a Matter or the Activities tab, the Time Entry Form will now show "Task" and "Activity" dropdown fields populated with the code sets that you enabled.

  1. Date: The Date field will default to the current date. Click in the field to change the date if required.
  2. Matter: Enter in the Matter by starting to type the name or number. Then choose the matter from the drop down menu.
  3. User: The User field defaults to "me" (for yourself). Click the filed to choose another user's name if you wish to enter time on their behalf.
  4. Activity description: Choose the Activity Description or choose "No Description" at the very top if you do not wish to use one.

    NOTE: If you have created custom Activity Descriptions, those descriptions will be at the top of the list. If you want to select a UTBMS activity code, use the scroll bar to scroll down to the description you want to use.

  5. Task: The Task field will remain greyed out until a UTBMS code has been selected in the Activity Description field.
  6. Duration: Enter the duration of the activity using one of the supported formats (i.e. 1h 10m; 1:10; 70min).
  7. Rate: When selecting a UTBMS Activity and Task, the Rate field will follow Rate Hierarchy rules but you can manually change the amount if required.
  8. Note: Enter in any notes about your activities you wish to show on the bill.

Similarly, you can select UTBMS Task and Activity codes from the Timekeeper and when adding Time to a Matter resource, such as a Document or Calendar Entry.

Using UTBMS Codes in Expense Entries

When editing or adding an Expense Entry from within a Matter or the Activities tab, the Add Expense Entry Form will now show an "Expense Code" dropdown field.

  1. Matter: Enter in the Matter by starting to type the name or number. Then choose the matter from the drop down menu.
  2. User: The User field defaults to "me" (for yourself). Click the filed to choose another user's name if you wish to enter time on their behalf.
  3. Date: The Date field will default to the current date. Click in the field to change the date if required.
  4. Expense Code: Select the appropriate Expense Code.
  5. Amount: Enter the cost of the Expense.
  6. Note: Enter in any notes about the Expense you wish to show on the bill.
