Setting Up Your Outlook (O365) Calendar Sync With Clio

Important

To use this integration, you must have a Microsoft Microsoft 365 Business account that includes Outlook calendars. Office 365 Business Standard includes calendars, but non-standard Office 365 does not.

Clio's integration with Microsoft Office 365 allows you to sync up the Calendars that you have in your Clio account with those in your Outlook for Office 365 account. 

When you choose to sync your Clio calendars with your calendars in Office 365, the sync will be bi-directional meaning that any events not already in Clio will be added and vice versa. Whenever you create an event in either Clio or Office 365, they will be continually synced up to 6 months in the past and two years in the future.

Important Note

If you have already connected a Clio calendar to Outlook using the desktop sync, you will not be able to sync that same calendar to Office 365 later. 

Setting Up the Office 365 Calendar Sync

To set up the Office 365 calendar sync, go to your Clio Settings panel and click on "Contact and Calendar Sync" in the Personal column.

In the list of available sync sources, click the "Set Up Sync" link.

Next click on the "Authorize Office 365 Access" button. You will be prompted to log in to your Office 365 account (if you are not already signed in) and enable the sync.

*Do note: Each Clio user can only sync to one external email, so if the firm calendar is on a separate email (than their personal), it will have to be synced to Clio by another user.

Once you have successfully connected Clio to Office 365, the Office 365 sync settings screen will provide you with options for setting up a bi-directional sync of your contacts and calendars. For details, see the "Office 365 Business or Enterprise: Syncing Contacts" article.

To begin the calendar sync, click the "Sync" button beside the calendar you want to sync.

Next, you will be provided with the option to link the calendar to an existing calendar in Office 365 or to create a new calendar in 365. For details, see the "Differences Between Creating a New Calendar and Linking an Existing One" article. Once synced, appointments in your linked calendars will be bi-directionally updated in <1 minute.

Link to an Existing Calendar in Office 365

If you choose to link your Clio calendar to an existing Office 365 calendar, this will sync all of the events already existing in the Office 365 calendar to the Clio calendar.

To link to an existing Office 365 calendar, select the "Link to an existing Office 365 Calendar" option then select the desired Office 365 calendar in the dropdown field. Click "Sync Calendar".

Depending on the number of events that you have in both the Clio and Office 365 calendars, the sync could take anywhere from a few minutes to 24 hours to complete.

Create and Link to a New Calendar in Office 365

To have the sync create a new calendar in Office 365 that you will link your Clio calendar to, select the "Link to a new Office 365 Calendar" option then type in the name that should be given to the new calendar. Click "Sync Calendar".

In Office 365, you may be required to refresh the Outlook calendars page to see the new calendar created by Clio.

Once the new Office 365 calendar has been created, all new events added to that calendar will be synced to the linked Clio calendar.

Removing the Link to a Calendar

If you want to stop the sync to a particular calendar, go to the Office 365 sync settings screen in Clio and click the "Stop Sync" button beside that calendar.

Syncing the Firm Calendar

Syncing the Firm calendar to Office 365 follows the same steps as detailed above except that only the Clio Primary Subscriber can sync the Firm calendar. 

Once the Firm calendar is synced, the Primary Subscriber can make changes to firm appointments where the firm is the creator of an appointment.
