Sending Bills to Your Clients

There are two ways in Clio Manage that you can send a bill: via email with a secure payment link or via Clio for Co-Counsel/Clio Connect. 

Accounts that are connected to Clio Payments can also offer their clients the ability to pay bills online.

How to send a bill in Clio

To send a bill to your client:

  1. Select Billing in the Clio Manage navigation bar.
  2. Click Send next to the bill you want to send, or select all the bills and click Send

  3. A new billing window will appear. When sending a single bill or multiple bills by email, you can see a preview of what your client will see. The bill email preview will show next to the send bill modal. When sending bills in bulk, click Next email and Previous email to see what each bill will look like. 
  4. Recipient details: this section will only appear when sending a single bill. The matter client will automatically populate in the Contacts field. To choose additional contacts, start typing a contact's name in the field and select the appropriate contact from the dropdown.
  5. Message details: select the Email template of your choice, create a New template, or make manual changes to the email's subject and body. With Bill Message Templates you can create and send personalized messages along with your bills or balance requests. Click Add autofill fields for the subject and body to personalize and share bills easily.
  6. Click the arrow next to Additional settings to choose how you want to share the bill. Options include:
      • Email with PDF via secure link.
      • Email with PDF attachment.
      • Clio for Co-Counsel/Clio Connect.
  7. Under Payment settings check the box next to Accept payments for all unpaid bills to accept payment for multiple bills. This lets your client pay off their total amount with one payment. Uncheck the box to accept payment for only this bill.
  8. Click Send bill for a single bill, or Send for bulk billing. Once a bill has been sent, the sent date will populate in the Last Sent column.

Sending a bill via email

When you send a bill via email, your client will receive the bill as an email with a secure link to pay online, or the client will receive an email with a downloadable PDF of their bill with a secure link to pay online. To learn more about secure links, please visit this article.


Sending a bill via Clio for Co-Counsel/Clio Connect

When you send a bill via Clio for Co-Counsel/Clio Connect, your client will receive an email notification with a link to the bill in Clio for Co-Counsel/Clio Connect. If this is the first time that your client is accessing Clio for Co-Counsel/Clio Connect, they will need to set up a password before being able to view the bill.

Sending multiple bills

You can easily share multiple invoices at once by following the steps below. When bills are sent in bulk, each bill will be sent to the client in its own email.

  1. Select Billing in the Clio Manage navigation bar.
  2. Select the Unpaid column.
  3. Use the checkboxes to select the bills you want to send in bulk, and then click Send at the top of the bills table. 
  4. Select the applicable options in the new bills window.
  5. Click Send.

To send one email with links to multiple bills for one client (bills can be from one matter or multiple matters), follow these steps:

  1. Select Billing in the Clio Manage navigation bar.
  2. Click the Outstanding Balances subtab along the top
  3. Click Send beside the client's name. The client's name will only be shown one time, even if they have multiple outstanding bills over one or multiple matters.
  4. Complete the applicable options in the new window.
  5. Click Send client balance when ready to send to the client.

Paying bills online

Clio Payments allows you to connect an existing account or apply for an account within Clio to accept credit cards and give your clients the ability to pay bills via a secure link.

Reminding clients of their outstanding balances

Automated bill reminders enable you to collect more. You can email your clients to inform them of their outstanding bills or balances. This is a great way to improve your collections and professionally follow up with your clients ensuring that you get paid. For more information, please see the Automated Bill Reminders article.
