Fee Allocation Report

The Fee Allocation Report is available to subscribers of our Elite plan.

Clio's Fee Allocation Report is designed to give firms a detailed view of time and expenses each user has billed (and collected) on a Matter. This can be used to determine the percentages of a paid invoice that should be allocated to each attorney that worked on that Matter.

The Fee Allocation Report is part of Clio's package of Advanced Reports available only to Elite subscribers.

Report Options

Within the report options page you have several settings your can choose from to get the information you require on your report:

  1. Select Report Detail: Choose to pull time and expenses for all users or only a specific user.
  2. Select Originating Attorneys: Choose to pull data from all Matters or only Matters with a specific Originating Attorney.
  3. Select Responsible Attorneys: Choose to pull data from all Matters or only Matters with a specific Responsible Attorney.
  4. Select Client/Matter: Choose to pull data from all clients, only a specific client, or only a specific Matter.
  5. Select Practice Area: Choose to pull data from all Matters or only from Matters with a specific Practice Area. 
  6. Select Date Range: Select all dates or a specific date range. Selecting a specific date range will include only time and expense entries from Invoices with an issue date that falls within the date range.
  7. Select Output Format: You can generate this report as a PDF, a CSV, or in a web version.

In web or PDF format, generated report will display time entry information broken down by user. Each row of the report contains information related to a specific invoice:

Column Breakdown

In each column we see information specific to a user's recorded activities, as they appear on approved or paid invoices.

Billed Hours

The Billed Hours column refers to the number of hours a user is responsible for on specific invoices. The information in this column is pulled directly from invoices. Credit notes or write-offs will not affect the number of billed hours. In the web and PDF versions of the report, this column is totaled at the bottom.

Billed Time

The Billed Time column refers to the dollar value of the time entries a user is responsible for on specific invoices. For example, if a user has billed ten hours at $100/h, there will be $1000 in this column. In the web and PDF versions of the report, this column is totaled at the bottom.

Service Allocation

The Service Allocation column refers to the percentage of billed time on an invoice that a user is responsible for. For example:

  • An approved invoice exists for $4000
    • $3000 of this is time entries and $1000 is expenses
  • User A has billed for $2000
  • User B has billed for $1000 and is responsible for $1000 of expenses

In the service allocation column, User A will have 66.67% and User B will have 33.33%.

Billed Time Collected

The Billed Time Collected column refers to the dollar value of time entries that have been paid for. For example, if an invoice is fully paid, the number in this column will be the same as the number under Billed Time. If an invoice is only partially paid, the payment will be equally distributed between all time entries and expenses.

Billed Time Outstanding

The Billed Time Outstanding column refers to the dollar value of time entries that have not been paid for. For example, if an invoice is unpaid, the number in this column will be the same as the number under Billed Time.

Expense Billed Amount (CSV Only)

The Expense Billed Amount column refers to expenses that a user is responsible for on specific invoices.

Expense Allocation (CSV Only)

The Expense Allocation column refers to the percentage of expenses a user is responsible for on specific invoices.

Expense Amount Collected (CSV Only)

The Expense Amount Collected column refers to the dollar value of expenses that have been paid for.

Expense Amount Outstanding (CSV Only)

The Expense Amount Outstanding column refers to the dollar value of expenses that have not been paid for.

Total Funds Collected (CSV Only)

The Total Funds Collected column refers to payments applied to specific invoices. For example, if an invoice is fully paid, the number in this column will be the same as the combined value of the Billed Time column and the Expense Billed Amount column.

Total Funds Outstanding (CSV Only)

The Total Funds Outstanding column refers to unpaid time and expenses on specific invoices.

Frequently Asked Questions

Who can run the Fee Allocation Report?

Any user with the "Reports" permission enabled can run the Fee Allocation Report. For details on changing user permissions, see our "User Permissions" article.

What if I want to manipulate the data in this report?

When generating a report in a CSV format, you have additional options for sorting or removing certain columns or rows. For more information on manipulating CSV, please our Support Article on Techniques for Filtering and Sorting Exports in Excel.

How are partial payments allocated?

When a partial payment is received on an invoice, these funds are allocated equally based on proportion. For example:

  • An approved invoice exists for $4000
    • $3000 of this is time entries and $1000 is expenses
  • User A has billed for $2000
  • User B has billed for $1000 and is responsible for $1000 of expenses

If a payment of $2000 is received on this invoice, $1500 of the payment will go toward time entries, and $500 will go toward expenses (as they make up 75% and 25% of the invoice subtotal, respectively).

Of the $1500 going toward time entries, User A will receive $1000 (66.67%) because she is responsible for 66.67% of the time entries on this invoice. User B will receive $500 (33.33%) because she is responsible for 33.33% of the time entries on this invoice.

Of the $500 going toward expenses, User B will receive $500 because she is responsible for 100% of the expenses on this invoice.

How are Write-Offs and Credit Notes accounted for on this report?

When a write-off or credit note is applied to an invoice, it is reflected in the "Outstanding" columns (Billed Time Outstanding, Expense Amount Outstanding, Total Funds Outstanding). A write-off or credit note which fully pays an invoice will reduce these columns to $0. A partial write-off or credit note will be applied using the same logic as partial payments (detailed above).
