Klyant - Setting up Klyant and Clio

Klyant is Europe’s most comprehensive standalone cloud based legal accounting application for law firms. With Klyant you can manage all firm money accounting and in the same system account for client/trust money with ease.

The deep integration with Clio provides legal bookkeepers and cashiers with the ability to seamlessly synchronise client and matter data as well as all firm and client/trust transactions. The powerful configuration settings put you in control of the integration you want for your firm.

Prerequisites

Before beginning please ensure you have a Clio subscription, a Klyant subscription and a working login to both systems,

We also recommend that you set up an Office Account and Client Account in Clio. Please refer to this guide with further instructions on how to accomplish this. 

Note: Klyant is currently available in the EU only.

Authorising the integration

Once you have logged into Klyant, click on your firm name in the top right hand corner. Once you select the firm name, a menu will appear with “My Apps” as one of the options. Click on “My Apps”.

Under the Clio logo click “Link”. You will be asked to confirm that you wish to integrate Klyant with Clio.

You may be asked to sign in to Clio. You will then be asked to allow Klyant access to the data it requires from Clio to integrate.

When you have been redirected to Klyant you will be able to configure the integration to your requirements.

 

Configuring the integration (aka “sync”)

Once the integration has been authorised you will be able to specify what is synced from Clio into Klyant. While this is your decision, we recommend the following configuration settings.

Ensures only transactions entered into Clio after this date will be imported into Klyant

Group Fee Lines for Discounts

Check this box where you enter discounts against the overall bill in Clio but want the discount to be allocated against time entries only in Klyant

Ensure discounts are only applied to time entries where the discount was applied to an overall bill in Clio that included Expenses/Disbursements.

Billing VAT on Disbursements

Let me review and decide

Allows cashier to ensure correct VAT has been applied to Disbursements.

Cashier will then be able to amend the entry in the Clio/Klyant sync log.

Expenses & Disbursements

Expenses

Choose the Income account in your Chart of Accounts used for Client expenses such as photocopying.

Ensure all Expenses are in sync with Klyant.

Disbursements With Vendors

Choose Import against the bank account from which the disbursement was paid for.

The transaction reflecting the payment of the disbursement by the firm will be reflected against the relevant bank account and will be allocated to the matter.

Disbursements Without Vendors

Choose Import as Linked Outlay

An Invoice from the Supplier will be created in Klyant and the disbursement will be allocated to the matter. You can mark the invoice as paid from the Clio/Klyant sync log.

Allow Klyant to update disbursements in Clio

Enabled

Enables you to correct disbursement entries from the Clio/Klyant sync log and push the updates back into Clio

 

 

Running the sync

Once you have connected your Clio account to Klyant, you will notice that a Clio logo has been added to the top of your Klyant Home Page.

Click the logo and select “Sync Latest Changes”, to commence bringing any new relevant data in Clio over to Klyant. While the synchronisation is taking place you can continue using Klyant. When the logo stops flashing the sync is complete. Progress can be checked by clicking the Clio logo at any time.

After every sync you can view a Sync Log that is designed to put you in control of the data that is migrated. You can view a list of all data that has been brought over and resolve any issues that have been flagged in the log. The log can be accessed by clicking the Clio icon and then clicking “View Log”.

Migrating data from a previous system

In general, we recommend adding matters, clients and bills to Clio first as many of the core artifacts begin in Clio. To learn more about the migration process please contact a Clio or Klyant representative.
