Productivity by User Report and Activity Export Totals Do Not Match

Issue:

  • Different totals when running Productivity Reports and downloading Time Entries and Expenses

Environment:

  • Clio Manage

Additional Information:

n/a

Cause:

Activity Exports and the Productivity by User Report are not intended to be compared. There are a few reasons why you may observe a discrepancy between the raw Activity Export and the Productivity by User Report.

Resolution

  1. The Productivity by User Report will not show anything for Users that are Disabled in your account.
  2. The two do not, by design, show the same information:
    1. On the Productivity by User Report, the Unbilled column shows all Time and Expense Activities associated to each user that was:
      • Created in that month, and are not associated to a Bill
      • Applied to a Bill with an Issued Date that matches the Report's Date Range and is in Draft or Pending Approval status

Whereas the Activity Export will list all Activities created in the specified Date Range, regardless of whether that Activity was Billed or not.

    2. On the Productivity by User Report, the Billed column shows invoiced amounts on Bills with an Issue Date within the Report's Date Range and is in the Awaiting Payment or Paid state.

Whereas the Activity Export will list all Activities created in the specified Date Range, regardless of whether that Activity was Billed or not.

  3. The Activities Export displays all Activities (Time Entries and Expenses), whereas the Productivity by User Report (for Billed amounts only) displays amounts of Line Items on Bills.
    1. Activities and Line Items are two different things. It is possible to Edit a Line Item without changing the related Activity (see here).
    2. Discounts are applied to Line Items only, and not the original Activities:
      1. Any Discount applied to a Draft or Pending Approval Bill would impact the Unbilled column of the Report
      2. Any Discount applied to an Awaiting Payment or Paid Bill would impact the Billed column of the Report
