Matter Productivity by User Report

The Matter Productivity by User Report is based on the Client Activity Report and summarizes a breakdown of billed, unbilled, and non-billable time on a per-matter basis, grouped by the user that tracked time on the matter.

The Matter Productivity by User report is available in the “Reports” section of Manage under “Productivity Reports”. Customers can specify what user, client, practice area and the time frame they’d like to run the report for. Time frames are limited to Last Month, This Month, Last Week, This Week, Last Year, Year to Date, and Custom. Custom can only return 12 months' worth of data at one time.

Report Options

Within the Report Options page you have several settings you can choose from to get the information you require on your report:

  1. Select Clients: Choose to generate this report built for one client, or all clients.
  2. Select Practice Area: You have the ability to limit the results on your generated Report to a specific Practice Area, or by default you can select to display all Practice Areas. Do note that if you select to report on a single Practice Area, that all matters you wish to display under your clients will have to have the Practice Area assigned to it.   3. Select Date Range: Restricting your report to a specific date range will give you a historical representation of the data. For example, if your January invoices were in draft until February, running the report for January and February together will reflect the amounts billed on those invoices. However, if you select to generate your report just on the month of January, it will not represent the dollar amounts billed to your client due to the time not yet being on an approved invoice within the month of January. This is a historical representation of your data.
  4. Select Report Format: You can generate this report in PDF, .CSV, or Web version. The PDF and .CSV are downloadable files, whereas the Web version will only display in your browser. The advantage of a Web format is that it will include hyperlinks to the source of the records on your report.

The generated Matter Productivity by User Report will display billed, unbilled, and non-billable time, as well as expenses, on a per-matter basis, grouped by the user that tracked time on the matter.

This report can also be generated in a .CSV format. This can be useful if you wish to further filter your report.

Category Breakdown

Date

The first date listed in this column is the date of payment applied to the invoice. The dates following are for each line item on your invoice, such as Service and Expense items.

Status

Under the Status column you will see if your line items are Billed, Unbilled or Non-billable. Billed refers to items placed on an approved invoice, or items placed on an approved and paid invoice. Unbilled refers to any items not on an approved invoice.

Description

Under the Description column you will see any Activity (time or expense) Categories that have been applied to your Service items.

Note

The Note column will display any notes that have been written on Service items, or Expense items. This will be displayed in addition to any added descriptions.

Quantity

The Quantity column lists the duration (hours) of Service line items, and shows quantity of Expense items. Time entries will have an "h" next to the value, while expenses will not.

Rate

The Rate column lists the charge for each line item per Quantity amount.

Total

The Total column equals to Quantity X Price for each line item individually. For example, a Quantity of 2.5 at a Price of $100.00 would provide a Total of $250.00.

Separately, beneath each Matter or Client, you will see both a total for both billable and non-billable on a per-user basis summarizing the above information.

At the bottom of this Report you will see a total listed for all Clients and Matters.

Frequently Asked Questions

Who can run the Matter Productivity by User Report?
Any user with the "Reports" permission enabled can run the Matter Productivity by User Report. For details on changing user permissions, see our "User Permissions" article.

What if I want to manipulate the data in this report?
When generating a report in a CSV format, you have additional options for sorting or removing certain columns or rows. For more information on manipulating CSV, please our Support Article on Techniques for Filtering and Sorting Exports in Excel.

Does the Matter Productivity by User Report include discounts in the billed amounts shown?
No. The Matter Productivity report does not include bill or line item discounts in the "Billed" amounts shown.
