The article outlines answers to frequently asked questions about the latest improvements to the Court Rules functionality in Clio.
Add custom prefix to Court Rule Events
You can now add a custom prefix to all your Court Rule event titles with either text or numbers in Clio Manage and easily identify deadlines in your calendar. This can be done either via:
- Go to Calendar.
- Select the dropdown arrow next to New event, and select New Court Rule
- Enter prefix under “Event Prefix”
Calendar subtab in matter:
- Go to your Matters, find your matter, and then select the Calendar subtab.
- Select the dropdown arrow next to New event, and select New Court Rule.
- Enter prefix under “ Event Prefix”.
Can I edit the Court Rule event prefix once the Court Rule is generated?
You cannot bulk change the event prefix once applied. We recommend that you delete the calendar entries, re-trigger the Court Rule in question, and add a prefix (with the correct spelling)
Can I apply the event prefix to some of my Court Rule events, not all of them?
This is not currently possible in the creation window. We recommend that you either add a prefix to all Court Rule events, and then edit the title and remove the prefix where desired, or create the Court Rule without an event prefix, and update the titles and add the text where desired
Can I include numbers in the event prefix?
Yes, you can.
Will the prefix text or number show up in email notifications?
Yes they will, because the prefix is added to the calendar event name which will show up in your email notifications.
Will the event prefix show up in my synced Microsoft/Google calendar?
Yes it will, because the prefix is added to the calendar event name which will show up in your Microsoft/Google event titles.
Adjustable trigger date and time
What did we build?
As we continue to improve the Court Rules functionality, we are adding the ability to edit the trigger date/time of court rules, with the option to recalculate associated future-facing Court Rule event deadlines.
During the progression of a matter, oftentimes deadlines can shift, including court related deadlines. When a deadline that is part of a Court Rule changes, customers have had to manually move all events or delete and re-trigger the Court Rule event. With this two new workflows, users will be able to edit trigger date/time automatically recalculate Court Rule events following an update.
How does it work?
Adjust trigger date/time for Court Rule
Users will have the option to ‘edit’ a Court Rule from the calendar subtab of a matter. If the user updates the trigger date or time, the edit Court Rule modal will expand to give them the option to recalculate any or all associated future deadlines in the rule.
How can customers edit a Court Rule trigger date?
In the calendar matter subtab, navigate to the Court Rules section. Note that the Court Rules section only appears if the matter has a Court Rule associated. Beside each Court Rule, clicking the new ‘Edit’ button will allow users to update trigger date/time, and associated events.
If a user has manually changed Court Rule event names will those names revert when the Court Rule is recalculated?
No, the Court Rule event names will remain the same following the recalculation.
What does “We are unable to determine whether this event has any dependent court trule events that may be affected by this date change” mean?
Updating future related events is only available Court Rules created after May 14th 2022. This message means the court rule was generated before the Recalculate functionality was available on your account.
What does “you are updating this court rule to be a repeating event. We will not be able to reschedule this event or any of the repeating events moving forward, which may impact your court deadlines. We advise you not to create repeating court rule events..” mean?
If you opt to create a repeating event from an individual court rule event, we will not be able to provide the ability to recalculate the original event, or any events in the recurring series. If a you want to create a recurring event, we recommend creating a normal calendar event (not a Court Rule event) and set it to be repeating.
What does “Unable to reschedule dependent events. This event has dependent court rule events that we are unable to reschedule as the jurisdiction is unavailable. Please have an admin user check your settings” mean?
This appears if you try to edit an individual Court Rule event (either by clicking edit, or dragging and dropping), and the jurisdiction has been removed from court rule settings. To re-enable rescheduling of dependent events, an admin user on the account will need to re-enable the jurisdiction.
If I delete an individual court rule event, will it remove other associated events from that court rule?
Not at this time. Deleting an individual court rule will only delete that one event. If you want to delete the entire court rule set they can do this within the calendar matter subtab.
Why are some events automatically deselected in the recalculation section of the modal?
The following 2 event types will be deselected by default to give customers a chance to review them, before selecting to recalculate them:
- Events that require court permission
- Events that have been previously manually moved to a different date/time
What does the ‘court permission required’ pill mean?
These events require permission by the court to alter the due date. By default we have excluded these events from any date changes. Customers can choose to opt-in to include the events in the recalculation.
What does the ‘custom date’ pill mean?
These events have had their date manually edited and changed within the calendar to a custom date. By default we have excluded these event(s) from any date changes. If the customer would like to include it in the recalculation, they can opt-in by checking the box.
What does the ‘repeating event’ pill mean?
These events have been created as a repeating event in the calendar. Recurring events are selected by default to update automatically following the change of a trigger date. If updated, the date of the original event will be updated and any recurring events will be deleted.
Can court dates be moved from the calendar page?
Yes. Moving a court date can be done by dragging and dropping to the desired date or by editing the event. The window below will appear where you can select which related events you want to move as well.
Please note this only occurs when a parent event is moved and it has related child events.
Will the recalculation show up in the firm feed?
Every event updated as part of a recalculation will also appear as a unique entry in the firm feed. If the entire Court Rule is edited, an entry will also be created in the firm feed for ‘[Court Rule name] was updated.
What can the user do if they receive the error message: “Unable to preview changes: Jurisdiction is unavailable. Please have an admin user check your Settings”
The admin user of the account can go to their Court Rules Settings page and add the necessary jurisdiction(s). Recalculate functionality is available for jurisdictions that are available and enabled on the Court Rules Settings page. If a user tries to recalculate a Court Rule event that belongs to a jurisdiction that is no longer available in settings, they will see this error.
Why does a user get the error message saying: “This event is part of a Court Rule set. We are unable to determine whether there are any dependent Court Rule events that may be affected by this date change.”
Trigger date/time can only be updated on newly created Court Rules. This error means the Court Rule event was generated before the recalculate functionality was available in the user’s account.
A workaround is to delete and recreate the Court Rule. Once recreated, the user will be able to recalculate the trigger date/time.

What are the Trigger time creation enhancements?
- Trigger time: Ability to add a trigger time when adding a court rule to your calendar
- Matter selection box dropdown now includes a dropdown of matters to search through. User can also type search for a matter.
- Trigger event selection box dropdown now includes a dropdown list of triggers to search from. Users can also type to search triggers.
What other changes can I expect with Trigger time?
- The trigger time field is required for certain triggers (not new functionality) and will be always optional for other triggers (new functionality)
- Any other events in the court rule that have a deadline associated with the trigger event time will adopt the necessary time when selecting a trigger time.
- If the trigger has an associated event (e.g. trial), the event will be scheduled to start at the trigger time, and default to 1-hour duration.
- Avoiding malpractice claims due to missing a court date.
- The ability to get notifications/reminders minutes or hours before the deadline or court date.
- Increased visibility of a court rule within the Clio calendar with 1-hour event durations.
- Ability to edit the Court Rule details from inside the calendar matters subtab.
What is the default event duration for trigger events?
The default event duration for trigger time events is 1 hour.
- When setting up a court rule, the user will be selecting a trigger time in the jurisdiction’s timezone. This time zone will be labelled beside the trigger time field.
- Court rule events will display in the user’s Clio timezone on their calendar.
Can I adjust other court rule event times during the creation flow?
