Clio's new Outlook Add-In and Legacy comparison

This article shows the key differences, from a UI perspective, between Clio's new Outlook Add-in and the Legacy add-in

Main Setup Screen

There are two options depending on whether the user is using Outlook desktop for Windows or Mac.



Add-in filing window when setting up and linking accounts.


  • "Get Started" guide is available when installing the add-in at the Microsoft Outlook add-ins page.
  • To use the Add-in, the Outlook inbox must be connected to a Clio account as a first step. The second step will be to connect Clio to the Outlook inbox. The same email address MUST be used in order for the add-in to work effectively. 




Message Filing View

  New Add-in Legacy Add-in

Filing Emails, Threads, and Attachments.


  • There is no need to create a Contact before filing an email.
  • Emails file 10x faster.
  • You can either select all attachments or choose the attachments you want to file.


  • You must create a Contact if the email address of an email being filed does not match one of their Contacts in their Clio Manage account.
  • You can either select all attachments or choose the attachments you want to file.

Smart File

  New Add-in Legacy Add-in

New: Smart filing is not available in the new add-in.


Legacy: Smart File 

File known email thread:

  • Searches for responses to emails that were received in the last 48 hours that have already been filed to Clio + will automatically save those new responses to the appropriate Matters (this is really slow). 

Scan and bulk:

  • Finds all new emails in inbox that were received in the last 48 hours, and allows you to select the messages you want to file.
Smart filing is not available in the new add-in.



Time Tracking

  New Add-in Legacy Add-in


  • Time Entry.
  • When you select File Email, the time entry section is available in the same window view.
  • Toggle on Add a time entry. Scroll down to complete.
  • Time entry template can be created in the settings section. 
    • When you select Settings turn on the Time entry template toggle. 
    • Select the desired Activity category and the estimated duration for that particular category. 


  • Timer and email file sections are separate, which requires multiple clicks. 
  • You need to:
    1. Click File to file the email, close the window, open the add-in again, click Timer, create a time entry, and attach the time entry to the last filed email; OR
    2. Start the Timer, close the window, open the add-in again, click File, select attachments + file email, close the window, open the add-in, click Timer, and stop the Timer.
    3. The legacy add-in has no Time entry templates

Email Organization

  New Add-in Legacy Add-in


  • Contact and Matter-based organizational feature. After an email is filed, it will automatically move to its Matter folder in Outlook.
  • Filed emails will have a Filed to Clio tag for easier visibility and differentiation.
  • In Settings, the above two features can be turned off. 


  • Emails stay in the inbox after being filed. 
  • Users can see that their email was filed only after opening the email.
